Privacy Policy- Movement Physiotherapy

At Movement Physiotherapy, we are committed to maintaining the trust and confidence of our service users. In particular, we want you to know that we do not share any of your personal details with other companies or businesses for marketing purposes. Furthermore, we are committed to safeguarding the privacy of our service users and website visitors, and this Privacy Policy will provide detailed information about how we do this.

For the purposes of this Privacy Policy “You”, “Your” and “Client” can represent either a client/service user or a client’s guardian (E.g. a parent of a child using our services). 

Types of Data we collect and how it is used:

Personal information: In order to provide the best quality of service, we do require personal and sensitive data to be collected, stored and processed about our clients. This includes information given by a client when completing contact forms, accessing our services, emailing, or speaking to one of our staff. It may also include information collected about other professionals, suppliers or service contractors. All data will be stored, retained and processed (in line with GDPR guidelines) on one or more of the following grounds: with a client or guardian’s specific consent; where data retention is necessitated by a contractual relationship; or on the grounds of being a legitimate business interest. Information may also be obtained regarding Next of Kin/Guardians/Family members pertaining to the Client on the basis of it being a vital interest. If appropriate, they should be made aware of this Privacy Policy.

Personal and sensitive data may be used to:

  • Assess, manage and record physiotherapy diagnosis and treatment.

  • Communicate information regarding physiotherapy services and costs.

  • Arrange or rearrange appointments.

  • Discuss with you regarding future appointments and/or physiotherapy management.

  • Discuss any changes to you or your child’s medical wellbeing or management.

  • Communicate with other professionals (including GPs, Case managers, Healthcare providers, insurance companies) only when necessary and with your consent.

  • Liaise with you regarding services, contracts, payments and/or invoicing.

  • Communicate changes to our business practices or the services we offer.

  • Internal training and Audit purposes (information would be kept anonymous).

Social Media: We publish information about our services on social media channels such as Facebook. We will not publish any personal/sensitive information about you on social media without your consent. We do not collect information about visitors to our social media accounts, but this may be collected by a third party or by the social media channel themselves. How the information is kept safe?

The security of your Personal Information is important to us, but remember that no method of storage, transmission over the Internet, or method of electronic storage, is 100% secure. While we strive to use commercially acceptable means to protect your Personal Information, we cannot guarantee its absolute security.

As a healthcare provider, we have a legal obligation to retain client notes for a period of time prior to secure disposal. For all clients who are no longer seen by Movement Physiotherapy, information is retained until 8 years after the last contact date. For all clients under 18 years old and no longer being seen by Movement Physiotherapy, information will be kept until they are 25 years old. Sometimes this information may be kept longer as a legitimate interest in cases of any medical investigation.

Remote/Video consultations

Remote consultations are being offered to clients during the COVID19 pandemic, in line with guidance provided by the Information Commissioner’s Office, the National Data Guardian and NHS Digital. This permits the use of video conferencing platforms such as Zoom, Facetime etc., where a secure connection is used, and appropriate security features are in place. All information obtained from these sessions will be stored and used in a secure manner within client files. 

How can you access and update your personal information?

You have the right to access the information that we hold relating to you and can request this in writing at the address above. You also have the right to ask to amend any inaccurate information that we may hold and for us to correct this in a timely manner.

What to do if you are unsure or unsatisfied? 

You can request that we no longer use your personal information for some aspects of our service and that this information is erased from our records. Please note that your right to request this cannot override the legal requirements to keep medical notes for the mandatory periods.
